We thoroughly screen the tenants. All prospective tenants must furnish a detailed employment and rental history for our review. Once approved, and prior to taking possession, they are normally required to pay rent, application and pet fees, as well as cleaning and security deposits. They sign all legal documents and receive a detailed orientation before receiving keys.
Documentation and accounting. Financial and other record-keeping is accomplished using our state of the art computer programs. The system tracks all current and outstanding charges for tenants, legal actions, accounts payable and receivable, maintenance history, expenses, and provides a detailed monthly accounting. Year-end reports and 1099’s are sent promptly.
We evict non-paying tenants as needed, following close dialogue with Investors.
Upon request and at no additional cost, we pay debt service (i.e. mortgages, HOA dues, taxes and/or insurance, etc.) When the property is vacant between tenants, the owner provides funds needed to make the required payments, or chooses to pay directly.
CENTURY 21 Northwest has access to an excellent pool of home maintenance specialists and other licensed contractors in addition to our own in-house service technicians who provide quick response at a fair price. We also gladly work with any home warranty company that owners may have in place.
Our property managers constantly monitor rental market conditions and contact our clients to discuss recommendations for rent increases and other marketing strategies at appropriate times. They also make recommendations for property improvement and scheduled maintenance as necessary.
To insure the tenants are taking proper care of the property, and to minimize safety or security hazards, periodic drive by inspections are conducted and interior inspections are sometimes scheduled as a result.
We try to handle all maintenance needs during normal business hours, but also accept emergency calls on a 24-hour basis when necessary. Sometimes, legally defined emergency calls must be addressed immediately and can be subject to overtime charges.

Although we try to seek Landlord approval of tenant applications wherever possible, for the protection of our clients and in order to comply with Fair Housing guidelines, if an applicant meets our rental criteria and has successfully completed the full screening process, we may approve an application without direct consent of the Landlord. In such instances we provide notice of having done so. In these circumstances and by law, we are held harmless if a tenant fails to perform as agreed.
Q) What are my costs other than monthly management fees, if any?
Vacancy Costs: When homes are vacant between tenants, we continue to maintain the properties including bi-weekly landscape attention and weekly full-service pool care where needed, assuring that the homes remain rent ready and show well. Doing so requires that we continue electric and water service for the homes after tenants are gone.
Maintenance: The owner is always ultimately responsible for all maintenance expenses to the property. When damage is deemed to be caused by the tenant, we normally collect funds from the tenant to cover such damages, either directly or from security deposits. However, we cannot guarantee successful collection of 100% of such charges, and some repairs are considered “normal wear and tear” and by law cannot be charged to the tenant.
Legal expenses: All legal costs and fees for court proceedings including eviction are the responsibility of the owner. Generally, all security deposits are forfeited to the Landlord in these circumstances. When the security deposit does not cover all costs, damages and any unpaid and due rent, such accounts are usually sent to collection, but Century 21 Northwest cannot guarantee collections, especially following evictions.
Advertising: To promote all our listed properties, CENTURY 21 Northwest absorbs the cost of certain, basic generic advertising at no charge to owners. However, internet, newspaper and other property-specific ads that are uniquely written for an individual owner are charged to such owners.
Q) What about things like repair authorizations, or emergency repairs?
CENTURY 21 Northwest oversees repairs and maintenance up to a limit that is set in the management agreement. Specific approval is normally obtained from the owner if the repair exceeds this amount. In cases of emergency or certain situations governed by laws, the appropriate repairs are made sometimes without owner consultation in order to assure legal compliance Such repairs might involve air conditioning, plumbing or septic ruptures, electrical shorts, or other health, safety or sanitation issues.

Just sign and date the enclosed management agreement and return it to our office along with a $300 account reserve and setup fee of $100.00. Then we’ll sign and return your copy.
